
Preparation
Under this tab, all financial information related to the selected contact is accessible. This includes estimates, pending invoices, and financial records. Scrolling on this page will reveal more financial information (as indicated by the purple arrow).
Estimates
Estimates (AKA “treatment plans”) are often used for invoices anticipated to be high in total cost. There is typically a price range in an estimate depending on services and goods expected. Estimates must be signed by clients for all surgeries.
Pending Invoices

Pending invoices are invoices under a client that have not yet been approved (think of this similar to a PVL before being posted in Cornerstone). Details for charges under pending invoices can still be edited.
IMPORTANT NOTE
Details to charges must be updated in the appropriate location, which is usually not the invoice (ex: if the quantity of food needs to be changed, this adjustment should be made in the ‘medications’ tab under the patient. Once changed there, the invoice will update to reflect the new quantity).
Financial Records

Financial Records are a combination of invoices that have been approved and have either had a payment or are outstanding. (Think of this as pushing through an invoice in Cornerstone). Details on invoices listed here which have not yet received payment CANNOT be edited until they are “unapproved”. Invoices with a processed payment are final and cannot be edited.
Hovering over an invoice will show invoice details.
Yellow invoices are unpaid invoices.
White Invoices are paid.
Payments on invoices appear as a green line.
Double clicking on an invoice will bring it up. You can either view the details of the invoice or process a payment from there.
IMPORTANT NOTE
Clients should only be checked out from the client financial tab, not the patient financial charge. This ensures that charges are not missed from another invoice under a different patient on the same account.
